The Board of Governors of the Islamic Development Bank Group (IsDB Group) holds its Annual Meetings to discuss development issues and institutional matters. The meetings attract more than 2,000 participants and offer an ideal platform for decision-makers to discuss challenges and explore IsDB Group member countries' opportunities.

During the Annual Meetings period, seminars and flagship events feature top-level panelists from governments, international & regional organizations, the private sector, academia, and civil society. The side events program provides a dynamic platform to discuss economic, financial, and development issues of current interest to IsDB Group member countries and their partners.

The side events also encourage discussions and debates and promote partnerships, cooperation, and knowledge sharing. Most of the events are open to all registered participants.

Actions

Beyond producing the Event, we worked closely with IsDB to formulate a robust health and safety plan, ensuring updated everyone on all local protocols and requirements. The team also incorporated best practices and key learnings from previous events, such as the importance of early and detailed communication.

We adopted a "Vaccination and Covid Test Required" approach for all attendees and staff. Organizers announced the mandate more than six months before the event, so everyone knew to plan accordingly. It was also arranged on-site express covid test labs.

The preparation for the event took almost a year. Six conference facilities and more than 20 meeting room facilities were designed and equipped for the event. Six branded Hotels were engaged in the Accommodation of 800 international participants, and more than 200 units of vehicles and minibuses were involved in their transportation.

Last-Minute Change

One day before the event, a member of our client’s planning team asked us to completely redesign a concept of the main conference hall and one of the session rooms. Our event designer jumped into action; he immediately came up with another idea and contacted one of our suppliers to request a rush piece. All in all, we finished this custom piece for us within 12 hours. The client was very impressed with the new concept. This couldn’t have happened without the great relationship we have with our supplier. Our supplier partnerships are significant to us and operate based on mutual respect. When we need to go out of the “norm” and need a reliable partner during crunch time, these relationships are integral for us.
